Concierge: the operations hub

Track tasks across every property in one place, with filters by assignee, status, priority, category and deadline.

What it is

The operations hub is the view of every property at once. It exists so you can track priorities without going property by property.

How the screen is organised

Content is grouped by urgency, in the order the operation needs it:

  • Overdue tasks — items past their date, which need attention first.
  • Due today — operations due today.
  • Upcoming — the next open actions.
  • Active checklists — processes under way across the properties.
  • Each block says clearly when it is empty — "no overdue tasks", "no tasks due today" — instead of simply disappearing. An empty block is information: it means there is nothing pending there.

    If there is nothing pending at all, the screen explains that tasks will appear as they are created on the properties.

    The filters

    Above the lists sit the operational filters. You can combine:

  • Property — or all.
  • Assignee — or all.
  • Status — Pending, In progress, Completed, or all.
  • Priority — Low, Medium, High, Urgent, or all.
  • Category — Cleaning, Maintenance, Pool, Gardening, Concierge, Inspection, Custom, or all.
  • Deadline — Overdue, Due today, This week, or all.
  • Combining two or three answers concrete questions: "what maintenance is Maria behind on", "what is due this week at Lake House".

    What you can do without leaving the hub

    Each task in the list offers direct actions:

  • Complete
  • Change status
  • Change priority
  • Open property — to reach that property's full context
  • That is what makes the hub useful in the morning: you can sweep the list, re-prioritise and close what is done without opening seven screens.

    Unassigned tasks

    A task with no owner is marked unassigned. That is not a system error — it is a warning. A task with no owner is a task nobody will do.

    Use the assignee filter to find them and hand them out.

    A suggested routine

  • In the morning: filter by *Overdue* and resolve or re-prioritise. Then look at *Due today*.
  • At the start of the week: filter by *This week* to get ahead of the crunch.
  • Weekly: look for *unassigned* tasks and distribute them.
  • Common mistakes

  • Using the hub as the place to create a task. Tasks are born on properties; the hub is where they are tracked.
  • Marking everything Urgent — when everything is urgent, the filter stops helping.
  • Ignoring the overdue block for days on end, until it becomes a list too big to face.
