Concierge in practice: operational base, checklists and tasks

Organise internal information, repeatable processes and tasks for a residence inside Concierge.

Which properties

Concierge is available on properties configured as a private residence or a hybrid property.

If the property is set up for holiday rental only, the screen says Concierge is unavailable and points to the fix: change the property type in its settings.

How to open it

While editing the property, look for the Concierge button. It opens that property's operational area.

Everything here is internal. Concierge data does not appear on the public site, the public calendar, the checkout or guest pages. That is why it is the right place for an alarm code and a supplier's phone number.

The six areas

The Concierge area is split into tabs: Overview, Checklists, Tasks, Expenses, Teams and Maintenance.

Overview — the operational base

This is where knowledge about the house lives. The blocks:

  • Access and security — credentials, codes and instructions for entering safely.
  • Emergency — quick contacts for urgent situations.
  • Operations — how the day to day works.
  • Property logistics — practical rules for parking, rubbish and utilities.
  • Owner and family — private context: people, vehicles, pets.
  • Internal preferences — recurring preferences that keep the experience consistent.
  • Suppliers and maintenance — who to call, technical notes and internal guidance.
  • Filling these in is what lets a new team member solve a problem without calling you.

    A checklist and a task are not the same thing

    Worth remembering, because it organises everything else:

  • A checklist is a standardised, repeatable process, with clear steps. It suits routines that always follow the same path: pre-arrival preparation, weekly inspection, post-departure survey, closing the house.
  • A task is a one-off action, with its own owner, deadline and status: change a bulb, clean the pool, meet a supplier.
  • In practice: if you would do it the same way again next month, it is a checklist. If it came up today, it is a task.

    Tasks: what defines each one

    Every task carries four pieces of information the rest of the operation relies on:

  • Status — Pending, In progress or Completed.
  • Priority — Low, Medium, High or Urgent.
  • Category — Cleaning, Maintenance, Pool, Gardening, Concierge, Inspection or Custom.
  • Assignee — who will do it. A task can be left unassigned, and that shows explicitly.
  • Teams, Expenses and Maintenance

  • Teams — the people running that property.
  • Expenses — the property's operational costs.
  • Maintenance — the maintenance flow: what was reported, what is under way, the history.
  • Common mistakes

  • Looking for Concierge on a holiday-rental property and concluding the module does not exist. It does: the property type is what is missing.
  • Turning a one-off into a checklist, and a weekly routine into a task.
  • Leaving tasks with no assignee and no deadline — they vanish from the routine, because they never enter any of the hub's deadline lists.
  • Keeping an alarm code in the property's public description instead of the access and security block.
