Why didn't the cleaning cost come prefilled on the dormitory booking?

The cleaning belongs to the room, not to the bed

The cleaning cost did not come prefilled on the dormitory booking because the cleaning belongs to the room, not to the bed. In a "By room" property, a room marked as shared and sold by the bed receives several bookings on the same night — one per guest. If each of them inherited the property's operational cleaning cost (default), a night with five occupied beds would generate five payables for a single cleaning.

That is why, when you pick a dormitory sold by the bed in the booking form, the "Operational cleaning cost" field is empty and shows the notice: "Dormitory bed: the property default is not inherited, because the cleaning belongs to the room, not to the bed. Enter an amount if you want a payable for this booking." The rule is the same in all four forms that create bookings: Bookings, Calendar, mobile and the CRM deal conversion.

This has nothing to do with the cleaning fee charged to the guest, which keeps being charged as usual, bed by bed, according to the property's pricing.

So how do I record the dormitory's cleaning?

In two ways, which can be combined:

1. Enter the cost on one of the bed bookings. The field accepts a typed value: the payable is created as usual for that booking, marked "Booking cleaning", and you pay it like any other. Useful when the cleaning happens at a specific guest's check-out.

2. Record the expense manually under Finance, in Transactions, in the Cleaning category — per day, per room or per period, however you agree with the cleaner.

Both ways the expense shows on the income statement and in the "Limpezas" (Cleanings) tab of Reports (as "Reserva" in the first case, as "Manual" in the second).

Do the private rooms of the same hostel also get no payable?

No. A private room inherits the operational cleaning cost (default) as usual: one booking is one cleaning, and generates one payable. Only the bed of a dormitory sold by the bed is left out. A property can have both: the dormitory without automatic payables and the private rooms with them.

And if the room marked as shared is booked as a whole — one booking takes the entire room, with no sale by the bed — it behaves like a private room and inherits the default.

I marked a room as a dormitory after it already had bookings. What changes?

Nothing for the bookings that already exist. The operational cleaning cost is snapshotted when the booking is created, and payables already generated stay as they are. Only new bookings in that room stop inheriting the default. The same holds the other way around: turning a dormitory into a private room does not create payables for old bookings.

Where is this stated in Settings?

In Settings, on a "By room" property, right under the "Operational cleaning cost (default)" field: "Does not apply to beds in a dormitory sold by the bed: those bookings only get a cost if it is entered on the booking itself (the cleaning belongs to the room, not to the bed). Private rooms inherit it as usual."
