Check-in and check-out times: what each one means

Understand the difference between your property's standard time and the time a guest plans to arrive.

What it is

There are two different times on a booking, and they are easy to confuse. Understanding the difference avoids misunderstandings with the guest and mistakes in the operation.

The property's standard time is your house rule. For example: check-in from 14:00, check-out by 11:00. That is the time that organises cleaning, key handover and preparing the property.

The guest's intended time is their forecast of arrival or departure. For example: "I intend to arrive at 08:00". It is information, not authorisation.

A guest stating 08:00 does not mean they can come in at 08:00. The standard time remains 14:00 until you decide otherwise.

When to use it

Ask for the intended time when you want to organise yourself better: knowing who arrives early, who arrives in the middle of the night, who needs to leave later because of a flight. It is especially useful for guesthouses and operations with a small front desk.

How to configure the standard time

1. Go to Settings → Properties.

2. Click the edit icon (pencil) on the property.

3. Fill in the Check-in and Check-out fields.

4. Click Save.

How to ask the guest for their intended time

On the same screen, just below the times, there is the option to request intended times on the booking.

1. Tick that option.

2. Click Save.

From then on, the form on your booking link shows two optional time fields. The guest can fill both, one, or neither — the booking works normally in every case.

Properties that never enabled this option stay exactly as they were: no new field appears for the guest.

Adjusting the time on a specific booking

A booking can have a different time from the property standard. That covers one-off arrangements: a guest who negotiated a 16:00 arrival, or a group leaving at 09:00.

1. Go to Bookings and open the booking.

2. Click the edit icon (pencil).

3. Adjust the check-in or check-out time.

4. Click Save.

That adjustment becomes the time that applies to that booking — including for organising cleaning.

What the guest sees

The guest still sees your official rule ("Check-in from 14:00", "Check-out by 11:00") beside the dates. If you enabled the collection, they also see the fields to state what time they intend to arrive and leave, with a notice that it is only a forecast.

What you will see in Rezvia

On the booking, the intended time appears in its own block, separate from the booking's times. That is deliberate: they are two different facts, and the screen needs to make clear which is the rule and which is the request.

Worked example

Your guesthouse's standard check-in: 14:00.

The guest books and states they intend to arrive at 08:00, because their flight lands in the morning.

What happens: you find out in advance and can arrange to store the luggage, release the room earlier if it is ready, or simply let them know entry is at 14:00. Nothing changes on its own — the decision stays yours.

Important

  • Stating an intended time does not change the booking's time.
  • It does not change the price, availability, the nights charged or the cleaning schedule.
  • It is not a confirmation. Agree it with the guest on the channel you already use.
  • The time only becomes the booking's time when the request becomes an Early Check-in or Late Checkout request and you approve it. See early check-in and late checkout.
