Pay later, Pix and card: what changes in the message

Understand how each booking falls into one of five payment situations and which message the guest receives in each case.

Why there are five situations

Someone who has just paid by card needs a different message from someone who has yet to pay. That is why the post-booking message is organised into five situations, and each booking falls into one of them.

The classification is done by the system, from what happened on the booking. You do not have to mark anything.

Direct payment to the owner

Applies when the property is configured to receive payment directly.

This situation beats all the others, including on bookings you create yourself. If the property receives directly, the payment instruction is what the guest needs to see.

It is also the only situation that does not fall back to the default message: it always needs its own. See how to set up direct payment.

Pay later

Applies when the guest, on your booking site, chooses to complete the booking without paying at that moment.

"Pay later" does not mean that booking will be paid directly to the owner. They are independent: whoever pays directly is the property configured for it. A "Pay later" booking can be settled later by any arrangement you made with the guest.

Use this message to explain the deadline, the accepted payment methods and what happens if payment is not made.

Pix via Asaas

Applies when the guest chooses to pay online by Pix on your booking site.

Card via Asaas

Applies when the guest chooses to pay online by card on your booking site.

In those two situations the guest is already paying through online payments. That is why the direct payment variables come out blank in them — so as not to prompt a second payment. See the direct payment variables.

Default message

It is the destination for everything that does not fit the above:

  • bookings you create in the panel;
  • bookings made on your site that did not go through the payment step.
  • On a booking you create, the payment method you record is your note of how the money came in — not a choice made by the guest. That is why it does not change the message situation.

    Bookings that receive no message

  • Imported via iCal, coming from channels such as Airbnb.
  • Created by integrations.
  • How to check in practice

    Under Automations → Post-booking, use the preview in each section. It shows the text that would go out in that situation, without sending anything to the guest, and warns you when a variable would come out blank.

    Common mistakes

  • Treating "Pay later" as a synonym for direct payment to the owner.
  • Putting the Pix key in the Pix via Asaas or card message — the guest has already paid there.
  • Configuring the first four situations and leaving the default message empty, which is exactly the one that covers bookings you create.
  • Frequently asked questions

    Do I need to write all five messages?

    No. Pay later, Pix and Card fall back to the default message while they have none of their own. Only direct payment to the owner requires its own.

    Can the situation change after the booking is created?

    The classification follows what the guest chose at the moment of booking, and stays consistent even after the payment is settled.
