Guest Portal: what guests see and how to prepare it

Set up the area where guests check their stay, with arrival instructions, Wi-Fi, house rules and contact details.

What it is

The Guest Portal is a private area where whoever booked can check their own stay: dates, amounts, how to get there, entry instructions, Wi-Fi, house rules and how to reach you.

It exists to take the same five questions off WhatsApp — and so the right information is available at two in the morning, when the guest arrives.

How the guest gets in

They open the portal and create access under Create Access, using the email registered on the booking. That email is what links the person to their bookings.

If they forget the password, there is email recovery.

Once in, they see My Bookings and open whichever they want.

Hence the habit worth keeping: when creating a booking manually, fill in the guest's email. Without it, there is no way for them to reach the portal. See the email guests receive when they book.

What you prepare

Go to Settings → Properties and open the property's Guest Portal area. That is where you write the information shown in the private area.

The available blocks:

Welcome message — the text that opens the booking page.

Arrival and check-in

  • Arrival instructions (e.g. "Come in through the main gate, intercom 1204")
  • Parking (e.g. "Space 12 in the basement, access via the side ramp")
  • Lock / access, for self check-in (e.g. "Download the lock app and use the code")
  • Gate code and alarm code
  • During the stay

  • Wi-Fi network and Wi-Fi password
  • House rules
  • Check-out

  • Departure instructions (e.g. "Leave the key on the living room table, close all windows")
  • Rubbish and recycling (e.g. "Organic collection on Tuesdays and Fridays")
  • Contact — name, phone and email of the person responsible. The guest gets Message on WhatsApp and Call buttons.

    What only appears at the right moment

    Two pieces of information are sensitive and are not exposed from minute one:

  • Access codes and instructions appear after the booking is confirmed. While it is pending, the portal says they will be available later.
  • The Wi-Fi password appears after check-in.
  • That is not a limitation: it is what stops an unconfirmed — or cancelled — booking walking away with your gate code.

    The portal link

    What the guest sees on the booking

    Beyond the instructions you wrote, the booking page shows the dates, the number of nights, the number of guests, the booked room where applicable, and the address with a shortcut to open it in maps.

    Price summary

    The booking carries an itemised Price summary, line by line, with whatever exists on that booking:

  • Nights
  • Cleaning fee
  • Pet fee
  • Add-on, for each optional item included
  • Early check-in approved and Late checkout approved, when you approved the request
  • Discount
  • Other amounts
  • And, at the end, Total, Paid and Balance.

    That changes the conversation: instead of asking "where did this amount come from?", the guest reads the breakdown. Each line matches something you configured — the pet fee comes from the room policy, the add-on from what they chose, the early check-in fee from your approval.

    When the booking has instalments, the payment history appears alongside, and the summary is built from the already frozen instalments — it is not a calculation redone on the spot.

    The guest can settle the balance in the portal

    If there is still a balance and your property has online payments switched on, the portal offers the guest to pay the difference right there, by Pix or by card.

    It is the natural path for someone who booked with "pay later" or settled only a deposit: they open the portal, see the balance and deal with it, without waiting for you to send a link.

    Two conditions, and both are yours:

  • the property has to accept online payments. On a property with direct payment to the owner, the portal does not offer this — there the settlement is between guest and owner;
  • online payments have to be enabled. See how to enable online payments.
  • When the balance is not payable online, the summary still appears in full. What disappears is the button — and that is as it should be: better not to offer than to offer and fail.

    If you fill in nothing

    The portal still works and still shows the booking. On empty blocks it says the full stay instructions have not been added yet — rather than pretending they do not exist.

    Common mistakes

  • Creating manual bookings without the guest's email, then not understanding why they cannot get in.
  • Putting the gate code inside the welcome message, which is visible before confirmation. Use the dedicated field.
  • Filling in one property's portal and assuming it covers them all. The setup is per property.
